This policy applies solely to the use of the Evidence Parvai mobile application by **authenticated employees and authorized personnel** of Evidence Parvai. All collected data is used exclusively for internal business, research, and analysis purposes.

We collect necessary information to authenticate users and enable the core functionality of the Service:

A. Information You Provide Directly (Employee Data)

• Account Information: We collect and store your **name, email address, employee ID, phone number, and role** ("field_employee," "admin") for user authentication, access management, and internal HR/operations purposes.
• Survey Data (Sensitive Data): The app's primary function is data collection. You will collect and submit survey data which may include:
  • Personally Identifiable Information (PII) of survey participants (e.g., name, age, gender, contact details, household number).
  • **Precise Location Data** (district, village, precise household coordinates) relevant to the survey.
  • **Potentially Sensitive Information** (e.g., political opinions, sensitive demographics) essential for our internal analysis.

B. Information Collected Automatically (Usage Data)

• Device and Usage Information: We use internal and third-party services (such as Google Firebase) to automatically collect technical data to maintain and secure the Service. This includes **device type, IP address, operating system, application crash logs, and usage statistics** (e.g., time spent on a screen).

3. How We Use the Information

We use the collected information exclusively for the following legitimate business purposes:

• To **authenticate and authorize** access for all employees and administrators.
• To **collect, securely store, and analyze** the survey data for internal research and reporting.
• To ensure data integrity by **syncing data** between your device and our central database.
• To **monitor app performance, diagnose issues,** and improve the reliability and security of the Service.

4. Data Storage and Security

• Data Storage Location: All data submitted through the app is stored in the **Google Firebase Realtime Database**, a secure, cloud-hosted platform. We rely on Google's industry-standard security and privacy measures.
• Data Protection: We implement reasonable physical, electronic, and managerial security measures (including encryption and access controls) to protect against unauthorized access or data breaches.
• Offline Use: A temporary, secure local copy of survey data is stored on your device's internal database to enable offline use. This data is **encrypted** and automatically removed from the local device once successfully synced to the central database.

5. Data Sharing and Disclosure

We **DO NOT** sell your personal or survey data to outside third parties for marketing or advertising purposes.

• Internal Access: Access to all collected data is strictly restricted to **authorized administrative personnel** within Evidence Parvai who require the data for analysis and reporting.
• Service Providers: We use Google Firebase for hosting and Google Forms for managing account deletion requests. These providers are only given the minimal information necessary to perform their services on our behalf and are bound by confidentiality agreements.
• Legal Requirements: We may disclose data if required to do so by law or in response to valid requests by public authorities (e.g., a court order).

6. Required Application Permissions

The Evidence Parvai app requests the following permissions to fulfill its intended function:

• INTERNET / ACCESS_NETWORK_STATE: Required to securely connect and synchronize data with the Firebase database.
• POST_NOTIFICATIONS: Used to notify you of background data sync status (success/failure) for reliable data submission.
• FOREGROUND_SERVICE / FOREGROUND_SERVICE_DATA_SYNC: Necessary for reliable background data synchronization (using WorkManager) when the app is minimized.
• RECORD_AUDIO: Required only when you actively choose to record voice notes or audio observations *within* a survey to supplement field data. Audio recording is strictly opt-in per survey field.
• WRITE_EXTERNAL_STORAGE (Older OS): Only used by administrators for the specific action of exporting internal reports to the device's storage.

7. Data Retention and Deletion

We retain your employee account information for as long as you are an active employee. All collected survey data is retained indefinitely for long-term business and research analysis.

Your Right to Account Deletion: You may request the deletion of your personal account data by following the in-app procedure:

1. Open the side navigation menu in the app.
2. Tap the "Delete Account" link.
3. Fill out the required information on the secure Google Form to submit your request.

Your personal identifying information will be permanently deleted from our systems within a reasonable timeframe (typically 30 days). **Note:** Survey data you have collected will be retained for business continuity but will be fully anonymized and disassociated from your employee identity upon account deletion.

8. Children's Privacy

This is an internal corporate application and is not intended for use by anyone under the age of 18. We do not knowingly collect personal information from children.

9. Changes to This Privacy Policy

We reserve the right to update this Privacy Policy periodically. We will notify you of any changes by posting the new Privacy Policy on this page and updating the "Effective Date." We may also notify you via internal company communication channels or through the app itself. You are advised to review this policy periodically.
